This is a full-time, remote position anywhere in the contiguous United States, with national travel expected up to 50%.

What You’ll Do

As the People and Culture Coordinator, you will provide executive administrative support, manage internal operations, and contribute to culture and engagement efforts across the organization. In this role, you will support the Executive Director of People and Culture through proactive calendar management, meeting coordination, travel planning, and preparation of materials for both internal and external engagements. You will manage day-to-day operations that enhance the effectiveness of the People and Culture team, including scheduling, task tracking, and ensuring timely follow-up on key priorities.

You will also help design and execute culture-building initiatives such as retreats, team-building activities, internal celebrations, and engagement campaigns that reflect Instruction Partners’ values and foster a sense of belonging. Your work will involve coordinating cross-functional projects, gathering input from stakeholders, and supporting alignment across teams. A key part of your role will also include maintaining strong internal communication by supporting meetings, sharing timely updates, and managing shared documentation to ensure clarity and connection across the organization. This position reports to the Executive Director of People and Culture.

Responsibilities:

Systems and Information Management

  • Maintains and improves internal information systems and knowledge management tools (e.g., shared drives, databases, trackers), and demonstrate adaptability by embracing new platforms and processes
  • Serves as the project coordinator across units and supports planning and execution of each team’s project plans, applying critical thinking to prioritize tasks and ensure timely, results-oriented execution
  • Monitors team productivity and surfaces opportunities for improved coordination and workflow efficiency

Executive and Operational Support

  • Provides proactive scheduling, travel support, and calendar management for the Executive Director of People and Culture, ensuring clear and timely communication
  • Assists with preparation of agendas, resources, and supplementary materials for team meetings and People & Culture initiatives, adapting to evolving priorities and feedback to continuously improve processes
  • Supports internal learning through the curation of survey data and other progress data as needed
  • Coordinates and manages preparation and logistics for team meetings, professional learning, team building, and team retreat logistics

Culture-Building Support

  • Partners with the Internal Learning and Culture team to plan and implement cultural heritage recognitions, celebrations, and observances, fostering an inclusive environment that reflects organizational values
  • Assists in executing team events and engagement strategies that nurture employee belonging, appreciation, and cross-team connection, clearly communicating across diverse audiences to ensure strong participation and impact
     

Candidate Qualifications and Traits:
 

  • 3+ years of experience with logistics planning and administrative support of executive leadership 
  • Executive Administrative Support: Strong ability in providing proactive, high-level support to executive leadership, including calendar management, meeting preparation, travel coordination, and confidential communication
  • Operational Coordination: Strong ability in managing logistics and daily operations to boost leadership effectiveness and team productivity. Skilled in polished internal communication and maintaining aligned, efficient workflows
  • Culture and Engagement Initiatives: Skilled in designing initiatives that foster connection and reflect organizational values. Experienced in planning retreats, team-building events, and cultural celebrations that strengthen engagement and belonging
  • Cross-Functional Effectiveness: Strong ability to work across teams and functions to ensure alignment and progress toward shared goals. Coordinates input and resources from multiple stakeholders to support high-quality outcomes in both administrative and culture-focused work
  • Project Management: Strong skills in coordinating and supporting processes from planning through execution. Able to create timelines, track progress, manage details, and collaborate across teams to contribute to timely, high-quality outcomes

Compensation:
