Operations Coordinator - Professional Development

This is a full-time position located from a remote office anywhere in the country, southeast region preferred, with some national travel expected, especially April-July.

Position Description:

As the Operations Coordinator, you will play a crucial role in the support and execution of cross district events on the Professional Development team, especially Standards Bootcamps. The Operations Coordinator will work on a variety of projects including event logistics, materials management, communications, list management, invoicing, scheduling, and more. In this role, you will report to the Director of Professional Development Operations.


•Work with the Director of Professional Development Operations to support logistics for all professional development learnings

•Serve as the project coordinator across work streams and support planning and execution of complex project plans

•Prepare logistical briefings, written and/or verbal, containing site-specific and general training information

•Sit on the operations team and work on organization-wide operations projects

•Serve as copy editor for electronic resources when needed

For all Professional Development events:

•Manage inventory, materials procurement, distribution, tracking, labeling

•Work with the Director of Professional Development Operations to identify survey questions, create surveys, and send to all necessary parties after each PD event

•Provide on-site event coordination and support for complex events

•Support with the attendance tracking

•Update data dashboard for the Professional Development team

Standards Bootcamps


•Assist with the scheduling and logistics of Content Coach trainings

•Place catering orders

•Coordinate all travel needs for contractors and create hotel rooming lists

•Support with operations trainings of Site Leads

•Support with facilitation and observation assignments


•List management for contractors & participants

•Review communications calendar and send communications as scheduled for Host Sites, Content Coaches, Grade Leads, Site Leads, and Participants

•Respond to questions from contractors regarding Bootcamps from state specific inboxes

•Manage a bank of frequently asked questions to help ensure consistency across state teams


•Support with the creation of print and non-print materials trackers

•Order non-print materials

•Organize electronic materials for participants


•Coordinating with finance team, manage invoicing process for contractors

•Collect, process, and run all reimbursements for Content Coaches, Grade Leads, & Site Leads for their training weekends and during Bootcamps

Data & Continuous Improvement

•Create event surveys as needed

Middle School Coaching Pilot

•Support with the creation of print and non-print materials trackers

•Work with Operations Lead to support with list management for participants

•Create rooming lists, sign in sheets

•Order materials for event and support with hotel logistics coordination

Math Adoption

•Order materials for event and support with placing catering and print orders

Candidate Qualifications and Traits:

•2+ years of experience with event planning and logistics

•Experience managing complex projects and multiple work streams

•Able to keep many projects moving forward concurrently

•Excellent organization and attention to detail

•Proficient in Microsoft Office and Google Suite

•Self-starter with strong reasoning and communication skills and comfort with ambiguity

•Strong desire to provide high-quality customer service

•Desire and ability to work in a fast-paced, collaborative environment

•Detail orientation, organization and ability to keep multiple projects moving forward concurrently.

•Some education experience preferred


The starting salary range for this role is $40,000-55,000, depending on experience.
